You receive a new reservation and open another booking site to check the dates. They still appear available. Is the update delayed, or is the connection broken?

Running several calendars can create uncertainty even when each connection looks active. A practical calendar review checks the connection method, the actual dates being blocked, and who responds when the calendars disagree. This article focuses on availability coordination rather than nightly pricing.

Identify how each channel connects

List the booking channels and direct-booking systems the home actually uses. For each, record whether availability is entered manually, imported through a calendar link, or managed through connected software.

These methods do not behave identically. Airbnb’s external-calendar guidance says imported calendars refresh automatically every three hours. It also explains that some blocks from another calendar may not carry across, including certain preparation or advance-notice settings. Calendar import should therefore not be treated as an instant update or a complete copy of all booking rules.

If you use property management software, consult the provider’s instructions for that connection. Do not apply the external-calendar refresh interval to every software integration.

Check the correct home and both directions

Confirm that each calendar belongs to the correct property. Similar names or duplicate listings can make a connection look plausible while pointing to the wrong home.

Where calendar imports are used, verify which system exports availability and which imports it. A one-way connection may not send a booking back to every other channel. Review the intended flow without creating live test reservations.

Compare a known reservation and an approved owner-use block across the relevant calendars. Note the time of your check, the date range, and whether the block has appeared. Investigate differences before assuming the whole calendar is aligned.

Record owner stays and maintenance closures consistently

Bookings are only part of availability. Personal stays, maintenance closures, and preparation time also affect when guests can arrive.

Agree where an owner block should be entered and who verifies it elsewhere. Sending a message that you want to use the home does not mean every channel has been blocked. Wait for confirmation through the agreed process.

Check arrival and departure boundaries carefully. A stay ending on one date may permit a same-day arrival, depending on the property’s settings and turnover arrangements. Review the actual available nights rather than relying on the appearance of a colored calendar bar.

Treat mismatches as an operational issue

If calendars differ, record the affected property, channels, nights, and last update. Check whether the information is delayed, entered in the wrong place, or affected by the connection settings.

Airbnb’s software troubleshooting guidance advises resyncing availability from the connected software first and contacting the software provider if the calendars still do not match. Follow the current instructions for your specific setup.

While investigating, use the applicable channel controls to prevent questionable nights from being sold where necessary. Do not reopen them until the operational lead has verified the intended availability. If bookings already overlap, establish the facts and follow the relevant platform process; do not assume cancellation is consequence-free.

Ask who owns calendar verification

A manager should be able to explain where availability is maintained, how owner dates are handled, and who investigates connection failures. Ask how a change made by you on one platform affects the other systems.

USVacaRentals publishes listing distribution and guest-booking management services. Ask which channels would be used for your property and how calendar coordination would be set up and monitored. The published scope does not guarantee that double bookings can never occur.

Frequently asked questions

Does an imported calendar update instantly

Airbnb says its external-calendar imports update automatically every three hours. Software integrations have their own behavior, so check the method you use.

Will every owner block transfer to another channel

Do not assume so. Verify the actual dates on the connected channel and check how that connection handles non-reservation blocks.
